How do I set up lead management using Yardi RentCafe?

Important: Syndication through Yardi RentCafe is required prior to enabling lead management. Refer to our How do I connect my listing to Apartments.com using Yardi? article for more information.

Apartments.com is unable to syndicate lead destination emails, phone numbers, or property website URLs through the Yardi Rent Cafe feed. To enable lead management, you need to generate property contact information and gather UTM tracking URLs manually. Refer to the steps below for more information.

Generating lead destination contact information

  1. Navigate to and select the Marketing dropdown under the Property Configuration dashboard and then select the Call Automation tab.

The Call Automation page appears.

  1. Select the Assign Numbers button.

The Call Automation: Assign page appears.

  1. Check and enable Toll-Free Number under Use For, select Apartments.com from the dropdown under Voyager Source, then select Create Email Address.

A Generate Email pop-up appears.

  1. Enter the email address prefix of the email you want your leads to contact regarding property inquiries.
  2. Select RENTCafe CRM from the Email Type dropdown.

  1. Select Save Changes.

The Generate Email pop-up closes.

  1. Select Save at the bottom of the Call Automation: Assign page.

You return to the Call Automation page, and your property phone number and email for Apartments.com are generated.

Note: Do not use a generated phone number if you are not using RentCafe to track phone calls.

  1. Repeat this process for every property you want to generate lead contact information for.

Important: Be sure to copy down each property's phone number and email. You need to send these to Apartments.com in a future step.

Enabling property website UTM tracking

  1. Select the property dropdown in the top navigation, search for the property where you want to set up lead attribution and select it.

  1. Navigate to and select the Marketing dropdown under the Property Configuration dashboard and then select the Lead Attribution & DNI tab.

The Lead Attribution & DNI page appears.

  1. Locate the Apartments.com source row and select the pencil icon on the right.

A pop-up appears.

  1. Locate Apartments.com under the Available referrers section and select it.

    Apartments.com is transferred to the Selected referrers section.

  2. Configure your UTM Parameters under Advanced Tracking Setup and then select Save.

The Apartments.com pop-up closes.

  1. Copy down your new tracking URL under the UTM Tracking URL column on the Apartments.com source.
  2. Repeat this process for every property you want to generate lead contact information for.
  3. Contact feeds@apartments.com, attach an excel sheet with all of your property phone numbers, emails, and UTM Tracking URLs, and let the team know you are ready to enable lead attribution on Apartments.com.

After receiving your request, lead attribution takes 24 to 48 hours to be enabled.
