How do I schedule a Box Score Report using Entrata?
- Navigate to Entrata and log into your account.
The Entrata Dashboard opens.
Creating a report instance
Important: Creating a report instance is required to schedule a Box Score Report. Verify you have permission to create report instances before starting this process.
- Navigate to Data & Reports > Library.
- Locate the Keywords field and enter Box Score.
- Select the drop-down next to Generate Reports and then select Create Instance.
An Instance Setup pop-up window opens automatically.
- Select the Details tab and enter a unique Instance Name (Apartments.com Box Score, for example).
- Select the most recent Version of the report.
Note: If you want your instance to stay updated when new versions become available, toggle Auto Update to Yes.
- Enter a report description and select a location from the Add Instances To drop-down.
- In the Permissions field, select Company Group and Company User to expand the lists of all groups and users associated with your company. Select a group or user to give them permission to view this instance.
- Select the Filters tab.
- Toggle Show Configuration Filters on Report Instance to Yes.
- Filter by Property and choose the Current Calendar Month for the period.
- After adjusting your filters, select the Display Options tab and edit the report columns as needed. Verify that the Property Look-Up Code column is enabled and configured before continuing to the next step.
- After editing the report columns, select Preview Report. The Instance Setup window closes, and your new report instance generates in the Create Report Instance window.
- Select Save Instance in the top-right corner of the window. The Create Report Instance window closes, and your instance is saved to the Company Reports page.
Scheduling a Box Score Report
- Navigate to Data & Reports > Schedules.
- Select Add Schedule in the top right corner of the Scheduled Reports page. The Add Report Schedule window opens.
- Enter your report name in the Report field. Select the report you created when it appears in the drop-down menu.
- Set your report delivery preferences in the Deliver Report, Every, and Start On fields.
- Select the checkbox next to all Entrata users or groups who need access to the report in the Recipients (Entrata User) field.
- Enter the email address of each report recipient who isn't an Entrata user in the Recipients (Email Address) field.
- Select XLS Attachment and verify that the Attach XLS and Include Formulas toggles are enabled.
- Select Save.
Your Box Score Report is scheduled.
